The best birthday venue for your group is the one that fits the guests and leaves you with a manageable job. Start with the youngest guest, the number of children and the supervision you can provide. Compare packages after those decisions.
A lower advertised price can become a larger bill when food, required equipment and extra participants are added. A more inclusive package can also be poor value if you do not need its extras.
Four different party formats
| Venue | Published format to investigate | Planning question |
|---|---|---|
| GC Aqua Park, Southport | Water session, reserved table, host and package socks; minimum 10 regular party guests | Who meets the participation rules and who provides required on-water supervision? |
| Putt Putt Mermaid Beach | Several mini-golf party packages; minimum eight people | Do you want a basic course-and-refreshment format or a hosted package? |
| BOUNCE Gold Coast, Burleigh Waters | Different parties for younger children and older jumpers | Does the package suit every child's age/height, and which food option works? |
| INFINITY, Surfers Paradise | Kids and teen parties, with a minimum 10 people | Is every guest comfortable with the sensory environment? |

Ask the same questions of every venue
- What is the minimum paid number, and when does the final headcount become binding?
- Is a host included, and what does the host actually do?
- How much time is activity time and how much is table or room time?
- Are required socks, equipment, food, drinks and cake included?
- Do supervising or non-participating adults need tickets?
- What happens if a child does not meet an activity rule on arrival?
- What are the cancellation, weather and rescheduling conditions?
Get dietary and access requirements from parents before paying a deposit or committing to a final number. Send the official participation information with the invitation so parents can make an informed decision.
Budget from the guest list
Use this calculation for each shortlisted package:
Required paid guests + required supervisors + mandatory equipment + food and cake + chosen extras + applicable fees = party total.
Then divide by the number of invited children if a per-child comparison helps. Keep the total visible as well. Minimum guest numbers mean a small party cannot always be priced by multiplying the number who actually attend.
For a water party, separate adult organisation from on-water supervision. A host helping the celebration run does not remove the venue's participation requirements. For licensed venues, confirm children's permitted entry times and the responsible-adult rules for your booking.
Make the invitation useful
Include the arrival time, activity start, collection time, clothing, any waiver link and whether parents need to stay. Ask for a contact number for the day and a response deadline that matches the venue's headcount policy.
